Astute`s Nuclear team is exclusively partnering with a respected Civil Engineering business delivering multiple construction projects to recruit an Office Manager for its Stansted site.

Responsibilities and duties of the Office Manager role

• Accurately capture, monitor and report on project costs and spend.
• Manage the payment ledger and ensure invoices are processed accurately and promptly.
• Efficiently resolve invoice queries, liaising with the relevant teams and suppliers to resolve any issues.
• File and maintain accurate cost records and supporting documentation.
• Prepare cost data and supporting information for audits when required.
• Ensure compliance with company processes, procedures and site requirements.
• Liaise with the Delivery Team and internal and external supply chain to support the smooth running of project administration.
• Deal with general cost administration queries and provide day-to-day administrative support to the project team.
• Oversee general site office administration, including supplies, stationery, PPE and equipment.
• Scan, upload and maintain delivery notes and relevant project documentation, ensuring records are accurate and accessible.
• Support document control activities, including the management of non-revisable documents such as permits and engineering documentation.
• Coordinate meetings, manage calendars and arrange travel and accommodation where required.
• Build and maintain effective stakeholder relationships, communicating professionally with colleagues, suppliers and the wider project team.
• Take ownership of administrative tasks, ensuring deadlines are met and issues are followed through.
• Ensure relevant health and safety requirements and site procedures are followed.
• Undertake any other duties as required to support the successful delivery of the project.

Professional qualifications

We are looking for someone with the following:

• Previous experience in an Office Manager or similar administrative role.
• Experience processing invoices and resolving invoice queries would be highly beneficial.
• Previous experience within the construction or civil engineering industry would be advantageous.
• Experience managing or supervising staff would be beneficial, with the opportunity to take on line management responsibility for a document controller.
• Proficiency in Microsoft Office and general business software.
• Experience using an ERP system would be an advantage, although training will be provided.
• An understanding of health and safety compliance within a working environment.
